About the Job

The Passport Office Agent will provide support to the Passport Acceptance office within the Global Programs and Strategy Alliance (GPS Alliance) office. The position reports to the Passport Office Manager. Ideal candidates enjoy understanding and handling day-to-day details of office work, are able to provide clear communication to all visitors of the Passport office and have the ability to provide excellent customer service skills to constituents with a variety of backgrounds and cultures.

Responsibilities:
90% Passport Office Support
The first point of contact for customers of the Passport office
Maintain working knowledge of passport acceptance forms and the completion requirement
Maintain a working knowledge of passport acceptance rules, regulations, and procedures
Take passport applications and payment; review documents to ensure accurately completed; verify that all application materials and documents are present and that all State Department requirements are met.
Taking passport photos
Manage customer expectations
Maintain regular contact with the Department of State personnel
Answer complicated questions associated with the passport application process; escalating them to Passport office Manager or Department of State as necessary
Provide a pleasant environment for customers as they wait

10% Other Duties as Assigned

Qualifications

Required Qualifications:
High School Diploma/GED
At least 2 years of related experience in an office administration or operations (some experience may be substituted with education)
Demonstrated experience with reception, and/or customer service
Demonstrated organizational skills
Experience working with constituents from a variety of backgrounds and cultures
Strong written and oral communication skills
Very detailed and process-oriented
Must be a U.S. Citizen and free of any Federal, State, or local Felony or misdemeanor convictions related to breach of trust or moral turpitude.

Preferred Qualifications:
Demonstrated experience being able to manage multiple projects during the same timeframe while paying attention to details.
Experience working with federal agencies (ex. Post office, DMV, etc)
Working knowledge of Google software (gmail, calendar, sheets, docs, drive, etc).

About the Department

The UMN Passport Office is an official passport acceptance center, approved by the U.S. Department of State. It is open both to the public and the campus community.

The office is conveniently located in the University International Center, on the East Bank of the Twin Cities campus.

Pay and Benefits

$21.69 an hour

Part time, approximately 10 hours a week.
