Minimal Qualifications:

  • Associate's degree;
  • 2 years of experience in facilities or procurement support or related area.
  • Minimum Education Qualification can be substituted with an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.



Preferred qualifications:

  • Bachelor's degree preferred.




Work Hours
Normally scheduled Monday through Friday; however, may be required to work other shifts to include evenings and/or weekends. Schedule subject to change based upon department needs.


Compensation
The annual salary range is $51,191-$55,798. A competitive benefit package is included.

Class Summary
Incumbents provide advanced and comprehensive administrative support for an assigned Director.


Typical Essential Duties

  • Assists internal and external members with e-requisition and purchase order questions, payment status, and research issues as requested.
  • Maintains Facilities Services email inbox, forwards invoices to correct department for approval or notification, answers questions or forward to Chief Facilities Officer or appropriate Administrator.
  • Checks document tolerance errors and notify purchase order originators of funding shortages, request and enter change orders to clear overspent purchase orders.
  • Prepares and reviews budget requests; monitors budget spending, accounts, or bills; monitors fund availability; and provides status updates to departments.
  • Collects, prepares, reconciles, reviews, verifies, and/or maintains comprehensive information, data, documents, and records; ensures information accuracy and compliance with applicable standards, policies, and procedures.
  • Verifies, processes and/or updates journal entry data into system; maintains documentation and journal entries and other records; work may involve analyzing and verifying information and requests/invoices to ensure that information is accurate, consistent, and complies with applicable laws, policies, and procedures.
  • Assists with year-end closing processes, including notifying purchase order originators of outstanding balances, and sees if they need to roll it forward, requests check refunds from suppliers for credit balances, process to Purchasing for payment.
  • Coordinates with and/or serves as a liaison to staff, faculty, vendors, and agencies to communicate information, resolve issues, and facilitate departmental operations.
  • Prepares and maintains reports, records, forms, and other documentation to ensure timely and accurate records, and compliance with applicable laws, policies, and procedures.
  • Coordinates Facility room request for Administration Center as needed.
  • Perform other duties as assigned.
