Job Summary

We are seeking a highly organized and discreet Executive Assistant to support senior leadership, including the President and Vice President of Business Development and Marketing. This role requires a proactive multitasker with exceptional communication skills and a commitment to excellence in administrative operations. The ideal candidate will serve as a strategic partner, ensuring seamless day-to-day operations and informed decision-making.

Job Responsibilities

  • Serve as a trusted partner to senior leadership, supporting strategic initiatives and daily operations
  • Manage complex calendars, coordinating professional and personal commitments to maximize efficiency
  • Organize and facilitate meetings, both on-site and off-site, internally and externally
  • Collaborate with other administrative professionals across the organization
  • Handle sensitive matters with the highest level of confidentiality and discretion
  • Coordinate domestic and international travel, ensuring smooth itineraries and timely arrangements
  • Manage email accounts efficiently, prioritizing critical communications and ensuring timely responses


Job Requirements

  • Bachelor's degree preferred; equivalent experience considered
  • Minimum of 10 years of experience supporting senior management in the construction industry or a related field
  • Strong knowledge of management principles and contract administration
  • Exceptional organizational skills with the ability to manage multiple high-level tasks simultaneously
  • Proficiency in Microsoft Office Suite
  • Strong attention to detail and commitment to accuracy
  • Effective problem-solving skills and ability to make sound decisions under pressure
  • Commitment to continuous improvement and staying current with industry trends and best practices
