JOB TITLE Facilities Assistant Project Manager JOB DESCRIPTION SUMMARY Reporting to the Assistant Vice President, the Facilities Assistant Project Manager supports the planning, coordination, and execution of capital and non-capital construction projects across the University. This position plays a key role in managing the design and construction of new, renovated, and existing facilities by coordinating internal stakeholders, external consultants, contractors, and vendors to ensure projects are delivered on time, within scope, and within approved budgets.

The Facilities Assistant Project Manager assists with project planning, budgeting, scheduling, procurement, and compliance, and serves as a liaison among user groups, Facilities & Safety Services, and construction partners. This role requires strong organizational skills, independent judgment, and effective communication to support multiple concurrent projects, ensure code compliance, and contribute to the successful advancement of campus development initiatives. JOB DESCRIPTION

Responsibilities:

  • Initiation of planning and project management strategies for the realization of the goals and objectives set forth by the University.
  • Ensure effective communication and coordination among all internal and external participants and stakeholders. Coordinate activities with vendors and suppliers and maintain relationships with them. Synchronize all operations required to successfully complete a project. Communicate relevant information to all team members. Keep track of all vendor purchase orders for those and determine the causes of any delays. Plan and coordinate project scheduling, budgeting, and administrative tasks. Support procurement activities.
  • Manage small projects related to Campus Development and Construction, and serve as an assistant project manager as needed. Participate in continuous departmental process improvement
  • Develops, manages, monitors, and assures implementation of budgets, schedules, and program scopes within approved limits.
  • Procures professional services for the realization of established goals.
  • Establishes and develops scopes of work, budget, and schedule with user groups/stakeholders for approval.
  • Analyzes information and draws inferences to prepare recommendations. Duties are varied and require independent judgment to address common challenges.
  • Facilitates building code compliance for all work.
  • Provides client and user support to meet program expectations and serves as a liaison among stakeholders.
  • Works closely with facilities maintenance on various trade work coordination.
  • Assist with procurement of services (professionals, etc.), materials (direct owner purchases, etc.).
  • Receive assignments in the form of results expected, goals, due dates, and general procedures to follow.
  • Analyze information and draw inferences in order to prepare recommendations.
  • Duties are varied and require independent judgment on commonly encountered problems.
  • Review work progress daily; maintain regular communication with stakeholders and team members on progress; and record any changes or modifications to the project. Review project submittals to verify furniture, fixtures, and equipment (specifically lab equipment).
  • Visit the jobsite as needed to review work progress. Prepare various reports/updates.
  • Arrange and attend project meetings.
  • Other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in engineering, construction, or architecture, or an appropriate area of specialization, or ten (10) years of relevant experience.

Preferred Qualifications:

  • Master's Degree in engineering, construction, or architecture, or an appropriate area of specialization; Experience in higher education project delivery;

Knowledge, Skills, and Abilities (KSAs):

  • Knowledge of construction delivery methods.
  • Experience in effectively managing, supervising, and evaluating ongoing multiple major multi-million-dollar projects.
  • Experience with Capital Projects.
  • Experience in higher education projects/program support
  • Skill in effective communication, both verbal and written.
  • Skill in establishing and maintaining effective working relationships, both internal and external.

NORMAL WORK SCHEDULE: This is an exempt position. The normal work schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m.; however, occasional overtime, on-call work, or emergency work on campus (including weekends and evenings) may be required.

TARGET HIRING SALARY: $60,000
