Scope of Position

The Ohio State University Wexner Medical Center (OSUWMC), The James Cancer Hospital and Solove Research Institute is committed to enhancing the quality of care provided to patients through teaching, research and patient care; and providing the community/region it serves with high quality services in cancer detection, diagnosis, treatment and rehabilitation as one of the nations 10 free standing cancer-only hospitals. The James is the only cancer program in the country that features a National Cancer Institute (NCI) designated comprehensive cancer center aligned with a nationally ranked academic medical center on the campus of one of the nations largest public universities.

Hopes Boutique offers women in treatment for cancer easy access to a location that provides them a convenient, comfortable environment to purchase products for their recovery and long-term wellbeing. Products available consist of breast prosthetics, specialized mastectomy bras, hair alternatives, including full and partial hair pieces, head wraps, wigs and scarves, skin care products, cosmetics, active wear and swimwear.

Position Summary

The Office Services Senior Coordinator functions as an integral part of Hopes Boutique operations working under the supervision of the Hopes Boutique Manager. The Office Services Senior Coordinator is responsible for a wide variety of daily back office functions, such as processing vendor invoices and new product receipt processing, generating bar code labels and maintaining the integrity of the inventory system. In addition, the Office Services Senior Coordinator is responsible for support of the Boutique Specialists, including appointment scheduling and billing, assisting with special orders, and returning patient calls.

Minimum Qualifications

For Hire: High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred. Position requires experience with patient billing, scheduling, order entry, generating bar code labels, maintaining and programming an inventory system is needed. Good telephone communication skills and genuine desire to work with patients, staff and vendors is required. In depth knowledge of computerized inventory systems and invoice reconciliation as well as proficient in major PC software programs to include Microsoft Office/Word, Excel, and Internet Explorer etc.

Ongoing: Maintain certification (if applicable). Demonstrated competency to meet essential job functions. Minimum ongoing requirements include excellent writing and communication skills with superb attention to detail; ability to multi-task and prioritize workload; energetic creative thinking; meeting health surveillance requirements; and demonstrating competence in technical, interpersonal, and cognitive skills required to meet essential job functions.
