Position Overview

The following is intended to describe the general nature and level of work being performed. This list of duties is illustrative only and is not a comprehensive listing of all the functions and responsibilities performed.

Position Summary:
Under general supervision, the Nursing Department Coordinator supports the daily operations of the Nursing Program by providing comprehensive administrative, clerical, and student support services. This position serves as the primary point of contact for program inquiries; assists with admissions, clinical documentation, and compliance processes; maintains accurate records; and coordinates communication among students, faculty, and external partners. The Coordinator plays a vital role in fostering a welcoming, student-centered environment while ensuring organized, efficient, and compliant program operations.

Duties and Responsibilities:

  • Serve as the first point of contact by responding promptly and professionally to phone, email, and in-person inquiries from students, staff, and community members.
  • Support the Nursing Program admissions process by tracking inquiries, managing application documentation, and maintaining organized physical and electronic student files.
  • Prepare, edit, and format documents using the Microsoft Office Suite; perform accurate data entry for program forms, student records, and compliance documentation.
  • Maintain routine clerical and departmental records, including meeting minutes, logs, and assessment data; perform filing, scanning, faxing, and other general office duties.
  • Assist the Director in advising prospective nursing students by explaining prerequisite requirements, providing guidance on required paperwork, ATI testing, deadlines, background checks, drug screenings, immunization records, and other required documentation.
  • Communicate with clinical agencies to provide required student documentation and updates; maintain clinical site records and coordinate schedules.
  • Assist in maintaining affiliation agreements with clinical partners; update spreadsheets and databases with contact information, expiration dates, and related documentation.
  • Operate standard office equipment, including copiers, fax machines, calculators, and computers, to support daily administrative functions.
  • Assist with inventory management and procurement of lab and program supplies; ensure storage areas remain organized and adequately stocked.
  • Coordinate and support events, including program advisory committee meetings, campus events, and dual-credit campus tours.
  • Perform local errands and deliveries as needed to support departmental operations.
  • Provide flexible administrative support for miscellaneous duties and special projects, as assigned by the Nursing Director.
  • Foster a student-centered, service-oriented environment by offering timely assistance and serving as a knowledgeable, accessible departmental resource.
  • Actively participate in departmental meetings and adhere to the University's and Nursing Program's policies, procedures, philosophy, and mission in all activities.
  • Collaborate with the Director to support ACEN standards and criteria, assist with data collection documentation (including completion, graduation, and pass rates), compile routine accreditation reports, and help maintain and update the Nursing Program's Systematic Plan of Evaluation (SPE).
  • Support the Nursing Director and faculty in achieving program goals and maintaining effective departmental operations.
  • Perform other job-related duties as assigned to support the overall operations and mission of the Nursing Department.

Requirements

Minimum Job Requirements:

  • Associate Degree and one (1) year of professional experience directly related to the duties outlined above or an equivalent combination of education, training, and/or experience.
  • Must possess a valid driver's license.

Preferred:
  • Bachelor's degree and one (1) year of professional experience directly related to the duties outlined above.

Knowledge, Skills and Abilities:
  • Demonstrated ability to communicate effectively, both verbally and in writing, with a diverse population of students, staff, and external partners.
  • Excellent organizational and time management skills, with the ability to prioritize and manage multiple tasks to meet deadlines.
  • Ability to work independently with minimal supervision while exercising sound judgment and maintaining confidentiality when handling sensitive information.
  • Working knowledge of administrative and clerical procedures, including professional telephone etiquette and standard office practices.
  • Proficiency in reading comprehension, accurate spelling and grammar, and basic arithmetic calculations.
  • Skilled in maintaining organized and accurate records in both physical and electronic formats.
  • Knowledge of student development principles and campus resources that promote student success.
  • Ability to identify students' needs for support services and make appropriate referrals.
  • Proficiency in operating standard office equipment, including computers, multifunction printers, telephones, calculators, and fax machines.
  • Experience with Microsoft Office Suite applications (Word, Excel, Outlook, and PowerPoint), with the ability to create, manage, and edit documents, spreadsheets, and presentations.
  • Strong problem-solving skills and the ability to adapt in a fast-paced, service-oriented environment.
  • Commitment to delivering excellent customer service; approachable, professional, and responsive to student and departmental needs.
  • Ability to perform efficiently and maintain composure under pressure in deadline-driven situations.

Working Conditions

  • Work is performed during normal business hours, with occasional evenings and weekends required to meet departmental needs or deadlines.
  • Work is primarily sedentary in nature and may require occasionally exerting up to 25 pounds of force and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects
