Overview

Work Schedule: Monday - Thursday, 8:30am-4:00pm. No Friday's.

The primary focus of this role is to deliver a remarkable guest and employee experience while maintaining a professional, welcoming, and efficient reception area and shared office environment. As the first point of contact for our organization, you will set the tone for every interaction-whether in person, over the phone, or through digital communication.

In addition, this role plays a vital part in supporting daily operations across the Support Center, including administrative coordination, meeting logistics, vendor partnerships, and Human Resources support. Your contributions will help ensure a seamless, engaging, and well-supported workplace for all.

What You'll Do

  • Serve as the first point of contact for all guests and team members, delivering a warm, professional, and welcoming experience
  • Manage incoming communications (phone, email, Teams, and other platforms), ensuring accurate and timely routing
  • Maintain a clean, organized, and inviting reception area and shared spaces, including cafe and coffee stations
  • Monitor and restock supplies to ensure a safe and fully functional environment
  • Provide administrative support to executive leadership, including:
    • Calendar coordination
    • Meeting and conference room scheduling
    • Meeting preparation and logistics
  • Support administrative teams with day-to-day operations and special projects
  • Assist Human Resources with:
    • Data entry and document management
    • Engagement and recognition programs
    • HR initiatives and special projects
  • Administer the companywide name badge program (creation, updates, inventory, and coordination)
  • Maintain company directories and coordinate vendor material distribution
  • Provide backup support for mailroom operations, including sorting, distribution, and package handling
  • Assist in planning and executing company events and activities, including logistics, setup, and follow-up

Qualifications

Education & Experience:

  • High school diploma or equivalent required; additional education in business or a related field preferred

  • 2-4 years of experience in a receptionist, administrative, or office support role

  • Experience supporting multiple teams or leadership is a plus

  • Experience coordinating meetings, events, or vendors preferred

  • Human Resources support experience is helpful but not required

Pay Range

USD $17.50 - USD $26.00 /Hr.
