Position Summary

We are seeking a Sales Coordinator to join our team! This position supports the contract-to-close process for assigned communities by managing documentation, tracking deadlines, and coordinating routine information across teams. This role works under moderate supervision to ensure accuracy, maintain organized records, and assist with daily workflows. The position serves as a key resource for internal teams and helps provide a smooth and consistent closing experience for buyers.

*** IMPORTANT : This role will require working on designated weekends as the team has a rotating schedule. There will also be occasional nights required as needed. Candidates selected will need to obtain real estate licensure within 180 days of hire if not already actively licensed. ***

Responsibilities

  • Submit Buyer signed Purchase Commitment Summary to Deal Review.
  • Generate contracts for signatures after approval.
  • Open escrow and provide escrow contact information to Co-Ops or Buyers.
  • Enter and maintain customer, contract, and all related sales transactions information in CRM, ERP, or other systems.
  • Coordinate with sales associates, construction teams, escrow, lenders, and title companies to gather required information and clarify routine questions.
  • Generate and monitor contract documents and follow up on outstanding items to support timely file progression.
  • Complete any Lender required documents.
  • Resolve routine documentation or process issues by referencing established procedures and guidelines.
  • Maintain organized digital and physical files to support compliance, audit readiness, and workflow efficiency.
  • Prepare basic reports, checklists, or summaries to provide visibility into transactions status.
  • Assist with onboarding for new sales agents as directed.
  • Follow established workflows and quality standards to maintain consistency and accuracy in all sales transactions activities.

Education & Experience

Required:

    • Associate's degree OR equivalent combination of education and experience.
    • Minimum 1-3 years of experience in closing coordination, contract administration, administrative support, or a related role.
    • Experience handling documentation and basic process coordination tasks.
    • Active Notary license or willingness to obtain within 60 days of hire.
    • Availability to work rotating weekends and occasional nights as needed.

Preferred:

    • Oregon and/or Washington real estate license.
    • Experience in homebuilding, escrow, real estate transactions, or closing services.
    • Familiarity with CRM tools, closing systems, or documentation platforms.
    • Experience supporting communication between sales, construction, or escrow teams.
